Position Overview
The Administrative Assistant for the Nelson Graduate School provides executive level administrative and operational support to the Dean of the Nelson Graduate School. The position advances graduate school operations, coordinates communication and projects, supports academic initiatives, and supports a high quality experience for faculty, students, and external constituents.
 
 The successful candidate must demonstrate professionalism, organizational strength, discretion, initiative, and the capacity to manage multiple priorities in a dynamic academic environment.
 
Major Responsibilities
·         Provide executive-level administrative support to the Dean, including calendar coordination, communication management, meeting preparation, document preparation, and operational support
·         Assist department chairs and program leaders with doctoral program support, new program development, curriculum processes, accreditation documentation, assessment reporting, and academic proposal coordination
·         Support graduate student success through communication, coordination, tracking, and administrative support for retention and student care efforts
·         Coordinate meetings, events, reports, travel arrangements, and special projects for the Nelson Graduate School
·         Prepare, proofread, organize, and maintain professional correspondence, reports, presentations, and institutional documents
·         Maintain organized electronic and physical records with appropriate confidentiality and accuracy
·         Collaborate with Marketing and other university departments to support communication, program promotion, and celebration of student and faculty achievements
·         Serve as a welcoming and professional point of contact for students, faculty, staff, and external partners
·         Offer basic research support related to relevant graduate academic interests.
·         Perform additional administrative and operational duties as assigned in support of the mission of the Nelson Graduate School
        
Organizational Relationship
Reports to the Dean of the Nelson Graduate School.

Required Qualifications

·         Strong interpersonal skills with the ability to engage administrators, faculty, staff, students, and external constituents in a professional manner
·         High level of professionalism, discretion, judgment, and attention to detail
·         Strong organizational and time management skills with the ability to manage multiple priorities and deadlines
·         Ability to work in an environment with frequent interruptions and shifting priorities
·         Strong written and verbal communication skills
·         Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint
·         Ability to learn and navigate university systems, databases, and workflow processes
·         Demonstrated commitment to customer service and student support
·         Ability to conduct internet-based research and information gathering
·         Skilled in navigating and creating content across major social media platforms.
·         Ability to take initiative in problem-solving and to provide support and solutions for graduate office activities.
·         Ability to systematize information storage and management. 
·         Ability to lift up to 25 pounds
 
Preferred Qualifications
·         Associate or undergraduate degree preferred
·         Experience with Google Workspace and online collaboration platforms preferred
·         Experience supporting projects, scheduling, document coordination, or office operations preferred
·         Basic bookkeeping or financial processing experience preferred
·         Familiarity with social media and digital communication platforms preferred
