Overview
The Executive Assistant reports directly to the Vice President for Marketing and provides comprehensive administrative, operational, and spiritual support for the University's Marketing Division. This role helps ensure the smooth functioning of a fast-paced, creative, and strategic marketing office responsible for brand management, communications, digital engagement, and enrollment marketing.
The Executive Assistant collaborates closely with other Vice Presidents’ offices—including Advancement, Finance, Academics, Enrollment, and Student Development—to support cross-departmental projects, campaigns, and university-wide initiatives.

Major Responsibilities
 
Professionalism & Mission Alignment
  • Maintain a lifestyle consistent with Nelson University expectations (see IPM sections: “Statement of Core Values,” “Doctrinal Statement,” “Christian Standards,” and “Lifestyle Standard”).
  • Serve as a welcoming, professional point of contact for the Marketing Office, reflecting the University's mission and brand values.
Administrative & Office Support
  • Provide executive-level administrative support to the VP for Marketing, including calendar management, meeting coordination, travel arrangements, and task prioritization.
  • Perform clerical and operational duties, including drafting correspondence, preparing documents, and maintaining digital and physical filing systems.
  • Manage incoming and outgoing communication for the VP, including follow-up coordination and stakeholder support.
  • Maintain and coordinate the Marketing Office calendar, including cross-campus communication projects, campaign deadlines, and recurring team meetings.
Marketing Operations & Project Coordination
  • Assist in coordinating marketing initiatives, campaign timelines, and project schedules in collaboration with Marketing leadership and staff.
  • Track progress on creative projects, digital campaigns, and media requests to ensure timely completion.
  • Support the VP in preparing presentations, reports, and materials for internal and external stakeholders, including Board committees, Cabinet, and university leadership.
Cross-Departmental Collaboration
  • Serve as a liaison between the Marketing Office and executive assistants in departments such as Enrollment, Student Development, Finance, Advancement, and Academics.
  • Coordinate information requests, project handoffs, and cross-functional meeting logistics.
Office & Resource Management
  • Manage inventory and ordering of office supplies and marketing-related materials.
  • Assist with vendor communications, including print vendors, creative partners, and media firms.
  • Support the management of budgets, purchase orders, invoices, and financial approvals related to marketing initiatives.
Special Projects & Events
  • Assist with the coordination of Marketing-led events, photoshoots, content days, campaign launches, and strategic planning sessions.
  • Support special projects assigned by the VP, including preparation for Board of Regents committees related to Marketing and Communications
 
Qualifications 
  • The Executive Assistant should hold a bachelor’s degree from a regionally accredited institution and possess strong administrative and communication abilities. 
  • Support and intentionally facilitate an environment conducive to discipleship and spiritual formation.
  • Ability to maintain confidentiality with sensitive, proprietary, and classified information.
  • Excellent organizational skills with the ability to handle competing priorities in a fast-paced environment.
  • Courteous, professional interpersonal skills with the ability to work effectively with faculty, staff, students, vendors, and external partners.
  • Strong written and verbal communication skills. 
  • Aptitude to support the operational, creative, and strategic functions of a university marketing office.
  • Close attention to detail and the ability to work with accuracy under deadlines.
  • Proficiency with Microsoft Office Suite, Adobe PDF management tools, and web-based platforms.
  • High adaptability when learning new software, processes, and workflows.
  • Preferred qualifications:
     Experience with CRM, project management tools, or marketing software (e.g., Slate, Basecamp, Smartsheet, Canva).
  • Experience supporting areas related to marketing, content coordination, or digital communication.
