Position Overview

In consultation with the Associate Dean of Admissions, the Director of Admissions Information Systems & Communications is responsible for the management of the Admissions Information Systems, Admissions Processing, and recruitment communications, as well as, working collaboratively with the Admissions Leadership Team (Associate Dean, Director of Recruitment, and the Director of Admissions Information System & Communications).    
 

Major Responsibilities:
Contribute toward the University’s undergraduate and graduate enrollment management goals and objective by designing, documenting, and implementing database usage methods that provide the information needed to optimize managerial decision making, student recruiting, and student retention. Implement strategies for increased organizational effectiveness and efficiency in the areas of database management, information processing, communication flow, budget, and office processes and procedures. Train departmental personnel on proper office policies and procedures related to data entry, data coding, data retrieval, and data analysis.
 
Admissions Information Systems Management
·         Responsible for preliminary analysis, system analysis (requirements definition), system design, development, integration and testing, acceptance, installment, deployment, maintenance, and maximization of the Admissions Information Systems (Slate).
·         Document policies and procedures sufficiently to the extent that another appropriately skilled employee could assume the task then needed
·         Develop and utilize an effective performance management system (metrics, benchmarks, dashboards, etc.) to ensure a high level of performance
·         Evaluate software system(s) periodically to insure maximum functionality in the accomplishment of the enrollment goals
·         Provide technical leadership and assistance to other team members
·         Train departmental personnel on best practices in enrollment office procedures
 
Admissions Processing
·         Create, edit, and maintain all student records in the Admissions Information System (Slate) and in necessary physical files
·         Receive, verify, and process all pieces of the application file  
·         Verify complete biographical and communications data in the student’s record
·         Present completed applicant files for review and acceptance
·         Manage all online applications processes and student “portal” experience
 
Business Intelligence
·         Develop and manage a variety of business intelligence and assessment tools for the Admissions Department
·         In cooperation with the Assistant Dean of Admissions, develop and manage weekly, monthly, and semi-annual reporting for all recruitment related data, generating standard or custom reports summarizing recruitment data for review by leadership and other stakeholders
·         In cooperation with the Assistant Dean of Admissions, develop and manage the Admissions assessment tools for continuous quality improvement initiatives
·         Synthesize current business intelligence or trend data to support recommendations for action
·         Manage timely flow of business intelligence information to users
·         Collect business intelligence data from available industry reports, public information, field reports, or purchased sources
 
Admissions Communications
·         Manage and provide technical support for the creation and execution of communication flows to prospective students, parents, high school counselors, businesses, schools, and churches
·         Provide design and writing/journalism expertise for internal and external communication
·         Ensure that a strategic, comprehensive communication plan for the Admissions Office is measurable, effective and optimized
 
Admissions Leadership
·         Recruit, interview, select, and orient new admissions employees under the position’s purview (Assistant Director of Communications and Admissions Specialist). Facilitate all aspects of personnel changes involved in those positions.
·         Provide day to day supervision, office managements, project management, performance management, accountability, training, and professional development opportunities for their employees
·         Motivate and inspire their employees to cultivate a positive work environment, exemplary work ethic, personal responsibility and ownership, and the completion of all assigning projects and tasks in a thorough and timely manner
·         Regularly communicate the Admissions’ office vision/strategy to their employees
·         Develop and foster a strong sense of unity and teamwork among the service staff and implement a goal-oriented approach.
 
Perform other duties as requested by the Associate Dean of Admissions.

Qualifications: 
Candidate must be an openly committed Christian, living a Spirit-filled life and be an active attendee of an Assemblies of God church. 
Bachelor’s Degree from an accredited college/university is required; Master’s degree preferred.  2+ years in sales and/or experience in university admissions are highly preferred.  Candidate must demonstrate strong verbal and interpersonal communication skills to effectively interact with students, staff, faculty and prospective students; further, the candidate must also demonstrate strong written communication skills.  Requires strong knowledge of MS Office products, database systems relative to Customer Relationship Management (CRM), and knowledge and experience with the Slate platform. A strong customer service orientation is essential. 
 
Candidate must possess strong organizational and time-management skills with the ability to prioritize and manage multiple tasks concurrently, as well as, being a self-starter.  The ability to be flexible and adapt quickly to changing priorities is essential.
